About AssetTrack

AssetTrack is a supply management system developed for Western Leyte College (WLC). It is used by the custodian office to record, monitor, and release institutional supply items to students. This system does not involve borrowing — all released items are final transactions recorded for audit and accountability purposes.

Account Responsibility

• You are solely responsible for all activity performed under your account.
• Do not share your login credentials with any other person.
• Notify the system administrator immediately if you suspect unauthorised access to your account.
• Providing false or misleading personal information during registration may result in permanent account termination.

Item Releasing & Monitoring

• Items released through AssetTrack are recorded permanently and cannot be reversed without administrator approval.
• Students may submit requests for supply items through the system; fulfillment is subject to stock availability and custodian approval.
• All item releases — whether from online requests or walk-in transactions — are logged under your student record.
• Any dispute regarding a recorded transaction must be reported to the custodian office promptly.

Personal Information

• By registering, you consent to AssetTrack collecting and storing your name, school email address, and student ID number.
• This information is used solely for identifying you in release records, transaction logs, and system notifications.
• Your personal data will not be shared with third parties outside of WLC administration.
• Data is retained in accordance with WLC's institutional records policy.

Activity Logging

AssetTrack automatically records all system activity under your account, including login sessions, item requests submitted, and releases processed by the custodian. These logs are used for accountability, auditing, and administrative reporting by WLC.

Enforcement

Western Leyte College reserves the right to suspend or terminate any account that provides false information, misuses the system, or violates institutional policies. All enforcement decisions are subject to WLC's disciplinary procedures.

Changes to Terms

WLC may update these terms at any time. Continued use of AssetTrack after changes are published constitutes your acceptance of the revised terms.
